One-Off Bookings
If you are interested in booking the hall for a one-off booking please review the below information;
Availability
First check the hall booking calendar for availability. Please click on the Scout HQ Availability page for details. You can click on existing events to see the start/finish time.
See if the time that you want is free on the calendar. If it is not available, please review the calendar for an alternative time.
Facilities

Cost
The cost of the hall is £25/hour
The cost of the garden is £15/hour
The cost of the garden and toilets is £20/hour
Visit
If you wish to view the hall it is easier to view it before Cubs/Scouts/Beavers. Please click on the Scout HQ Availability page to find the relevant times.
To Make a Booking
If you wish to book the Hall, please complete our booking form
You will need to pay for the total time you will need the hall for, including set up and clear up time.
You will also need to pay £100 holding deposit to ensure you adhere to the terms and conditions.
For example: 3 hours (£75 + holding deposit £100 = £175 – with £100 to be returned AFTER the party)
After you have completed the booking form, the form will be checked and you will then be contacted to let you know if the hall has been booked. Please allow around 3 days for this to happen (we’re volunteers and might not be able to check the form immediately).

Frequently Asked Questions
Do you allow bouncy castles?
Sorry, no. We do not have insurance to cover injury for bouncy castles.
Can we bring alcohol?
Alcohol is allowed but cannot be purchased on-site without a council licence.
Can we play loud music?
It’s a residential area so you need to be mindful of the residents surrounding the property.
How late can we use the place till?
9pm
Can I book a funeral at the Scout Hut?
Sorry, this is not allowed?
Do you have chairs and tables?
We have 10 tables and 40 chairs that you can use
Do you have a kitchen?
Yes, we do. It can be used to warm food.
We have a kettle, regular sized oven, some plates. We don’t have cutlery, cups.
How should I leave the hall?
Any rubbish should be bagged and taken away (removed from premises) and all floors should be swept and tables wiped clean. We do not have the capacity to dispose of rubbish for you sorry.
The hall should be left exactly as you found it.

Hall Booking Terms and Conditions
- The Hirer, during the period of hire, shall be present at the premises, and accepts responsibility for ensuring that all terms and conditions of this Hire Agreement are complied with by users.
- The Hirer shall be responsible, during the period of hire, for the security of the premises, protection of users from injury, protection of the fabric and contents from damage and loss, and supervision of the behaviour of all persons using the premises, including car parking arrangements to avoid obstruction of the highway. Hirer will indemnify 1st Malden Scout Group for costs to repair damage to the facility, furniture and grounds, to replace missing items and clean-up (if Hirer does not perform).
- The Hirer acknowledges that during their use of the premises the Hirer will be temporarily responsible for firesafety. The Hirer agrees to observe all fire safety precautions and to make users aware of precautions. The Hirer shall not obstruct the doorways, corridors and exits. No LPG appliances or flammable substances can be brought onto the premises. Three fire extinguishers are available and Hirer agrees to make themselves familiar with the location of the two exits and extinguishers. In case of fire, however small, the Fire Brigade must be called and the incident immediately reported to us. A summary of the responsibilities of the Hirer as the person temporarily responsible for fire safety is attached as an appendix. The responsible person for fire safety for 1st Malden Scout Group is Jane Pringle, Group Scout Leader.
- The kitchen may be used to warm and hold food. No food preparation is allowed on the premises (except beverage preparation). No oil to be poured down drains.
- All events must end by 9.00pm
- 1st Malden Scout Premises is a smoke free facility.
- Teenage events must include at least four adults (normally parents) and may not exceed fifty attendees.
- No alcohol can be sold on the premises. The Hirer must ensure that minors are not served alcohol. All alcohol must be removed from the premises at the end of the function. No person who appears to be intoxicated shall be served alcoholic beverage
- Nothing shall be attached in any fashion to the walls or doors of the building.
- Any rubbish should be bagged and taken away and all floors should be swept and tables wiped clean.
- Noises of any kind must be kept to a reasonable volume and be in compliance with council rules.
- No animals shall be brought onto the premises except assistance dogs.
- Respect the neighbourhood and park cars with consideration, maximum six cars on driveway.
- The Hirer must not enter the Premises outside the booking time without the prior consent of 1st Malden Scout Group. If the Hirer does enter the Premises without such consent, Hirer accepts 1st Malden Scout Group has the right to terminate the booking without refund and with no liability for any third party costs or losses.
- Payment in full must be received five days in advance of the booking, or else the hall will be made available to other bookings and if any are made and cash paid, the booking will be automatically cancelled and a refund of any amounts paid will be made to the Hirer. If no other bookings are made then a refund will be paid unless the cancellation is within 48 hours of the booking.
- The Hirer must notify the cancellation in writing to 1st Malden Scout Group and the time of receipt of email will be deemed as the time the notice of cancellation was received.
- It is the Hirer’s sole responsibility to make sure payments are made on time, and in the event of a cancellation pursuant to clause 14 above, 1st Malden Scout Group is not liable for any resulting losses to the Hirer (such as costs of providing entertainers, catering, etc)
- Instructions for how to access the premises (keys, codes, etc.) will only be given once payment in full has been received. Instructions for how to secure the premises will also be provided and any losses to us caused by Hirer not following the instructions shall be indemnified by the Hirer.
- The Hirer shall be solely responsible for making sure any local authority licenses required are applied for. The Hall does not have a TV license and no TV broadcasts may be shown.
- The Hirer shall not sub-let the premises, or use them for any unlawful purpose or in any unlawful way, or do anything or bring anything onto the premises which may endanger the premises and its users.
- Hirer acknowledges that no tenancy is intended to be created between 1st Malden Scout Group and the Hirer, and no relationship of Landlord and Tenant exists between them.
- The Hirer is reminded that they are responsible for any accident or injury arising on the premises during their period of use. It is the responsibility of the Hirer to ensure the premises are safe for the purpose which they intend to use them. The Hirer must, in the event of an accident, complete the accident book located in the premises.
- In the event of any emergency, Hirer is responsible to contact emergency services as a priority,and also contact 1st Malden Scout Group as soon as possible after the emergency occurs.
- 1st Malden Scout Group has the right to amend these Conditions by giving notice in writing to the Hirer.
